Age Group Coordinator
The Age Group Coordinator plays a key role in organizing and supporting a specific age division within the youth basketball league. This role serves as the main point of contact for players, families, coaches, and league leadership to ensure clear communication and smooth coordination before and throughout the season.
Coordinators are provided with a step-by-step timeline of responsibilities, along with communication templates, to support them in the role.
Responsibilities include:
- Communication & Registration Support
- Maintain ongoing communication with registered players and families (with workload decreasing once teams are formed and the season begins)
- Send evaluation-related emails and reminders, including evaluation dates, times, expectations, and what players need to bring
- Use prior-year coach surveys (for the first evaluation session) to help determine player time slots
- Evaluations & Team Formation
- Arrive 15-20 minutes early to designated evaluation sessions to set up, organize, and prepare for player check-in
- Attend assigned evaluation time slots to sign in players and collect uniform deposit cheques
- Work closely with evaluators to build balanced teams and track player information, including attendance, illnesses, no-shows, and prior coach feedback (if available)
- Remain on-site during assigned evaluation sessions to ensure materials are collected and communication with evaluators is maintained
- Coaches & Team Setup
- Organize and determine head coaches and assistant coaches; work with the executive when required to finalize coach assignments
- Assign head coaches, assistant coaches, and team managers in the registration system
- Support coaches with using the registration system
- Send completed team rosters (including jersey sizes) to the Equipment Manager and Registrar using the provided template
- Season Coordination
- Forward questions or concerns to the appropriate board member(s) for resolution
- Ensure teams and coaches are informed of assigned practice days and times in coordination with the Facility Coordinator
- Send or forward communications to coaches throughout the season, as needed
- SoCal Board Involvement
- Attend two board meetings per season: 1 in late August / early September + 1 in April / May
